I uploaded a list and Eloqua sent a notification, telling me that my contacts are available,
but I’m not seeing them. Where are they?
Background Information
The UT Austin Eloqua instance is configured with contact-level security (CLS).
When contact records (new email addresses) are added to Eloqua, a program processes them and assigns them one or more Security Labels. The Security Labels assigned may be due to the opt_in field that a user uses when uploading a contact list from a file or may be based on field values in the contact data synced to Eloqua from VIP. For example, a contact record with a specific degree may be assigned the security label for the CSU that conferred that degree, etc. This process can take some time to complete.
Similarly, when a user is added to Eloqua, the user is assigned to one or more Security Groups. The Security Group, in turn, provides access to one or more Security Labels. For example, when a new College of Education team member gets access to Eloqua, they are added to the College of Education Security Group which restricts their access to Contacts with the College of Education Security Label.
2) You didn’t allow enough time for the contacts to process through our security label program.
As mentioned previously, the security label program sifts each contact through a series of steps to determine which security label(s) should be applied.
Each one of these steps re-evaluates every few minutes. With forty-five steps in the cue, processing a group of contacts through the program takes a bit of time. Another factor to consider is that there could be other users uploading files at the same time as yourself. Because of this, we recommend that users expect to wait at least two hours before your uploaded contacts are available to you.
NOTE: A potential point of confusion is Eloqua’s near-immediate notification that you receive after your upload, announcing that your contacts are available. Please ignore this notification.
While it’s true that the contacts you've just uploaded are in the system, this notification does not factor in the additional processing time required for the security label program. As there’s no way for us to turn off this notification, please disregard it, and remember that you should wait at least a couple of hours before expecting to see all of your contacts.
